Privacy policy
1. Who processes your data
The data controller for the Rountine app (app.rountine.com, api.rountine.com, the Android app) is Paweł Płonka. For anything related to personal data, write to kontakt@rountine.com.
2. What data we collect
- Account: e-mail address and password (stored only as a cryptographic hash).
- Profile: gender (only to inflect messages correctly in Polish), weight and height — if you provide them.
- Your entries: meals, products, sleep, workouts, tasks, notes, day reports, events, financial data and other content you add yourself.
- Voice recordings: if you use dictation, the recording is sent for speech recognition and the resulting text for recognising the type of entry. We do not store the recordings themselves.
- AI feature history: each time you use an AI feature, we save what was sent to the model and what it answered, together with the number of tokens and the cost — you can see it in Settings → AI usage. Photos and recordings are not stored in this history.
- Google Calendar data — only if you connect your Google account (section 4).
- Technical data: server logs and error reports needed to keep the service running.
3. What we use the data for
Only to run the app: saving and showing your entries, calculating summaries, calendar synchronisation and managing your account. We do not sell data, we do not use it for advertising and we do not profile you for marketing purposes.
4. Google Calendar
Connecting Google Calendar is optional and you turn it on yourself in Settings. The app then asks for access to:
- calendar events (
calendar.events) — to send events created in Rountine to the calendar you choose and to bring events from that calendar into Rountine, depending on the switches you turn on; - the list of calendars (
calendar.calendarlist.readonly, read-only) — to show you a list of your calendars to choose from; - your Google account e-mail address — to show which account is connected.
Data from Google (title, time, location and description of events) is used only to show it in your planner and to synchronise it. We do not share it with anyone, do not use it for advertising, do not sell it, do not use it to train AI models, and it is not read by humans — unless you ask us to (for example when reporting a problem), it is necessary for security reasons, or the law requires it.
Rountine’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
We store Google access tokens in encrypted form. You can end the connection at any time with the “Disconnect” button in Settings — we then revoke access and delete the tokens. You can also remove access at myaccount.google.com/permissions. Events that are already in your planner stay there as regular entries until you delete them.
5. Who we share data with
- OpenAI — AI features, when you use them: speech recognition, recognising and splitting entries in dictation, shopping dictation, recipe import, meal review, estimating nutrition values and reading receipts. We send only what the feature needs: the text or recording of the entry, the pasted recipe, the receipt photo and, when matching against your own data, the names and nutrition values of your products, prepared components and meals. Google Calendar data is never sent there.
- Sentry — application error reports.
- The hosting provider of the server that runs the app and the database.
6. How long we keep data
As long as you have an account. When you delete your account, we delete your data, except for backups, which are overwritten in their normal cycle.
7. Your rights
You have the right to access, correct and delete your data, to restrict its processing, to data portability and to object. To delete your account and all of your data, write to kontakt@rountine.com. You also have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO) in Poland.
8. Changes
We will tell you about significant changes to this policy in the app. The date of the last update is at the top of this page.
